1. Who we are

TradeProfitApp ("we", "us", "our") is operated by Paul Lewis, a sole trader based in the United Kingdom. We are the data controller for the personal data described in this policy, which means we decide how and why it is used.

This policy explains what personal data we collect when you use TradeProfitApp (the "Service") at tradeprofitapp.com, why we collect it, how long we keep it, who we share it with, and the rights you have.

2. The information we collect

Information you give us

Account details: your name and email address.
Business settings: your country, currency, whether you charge sales tax, and how you buy fuel and measure fuel economy.
Business cost figures: your hourly rate, overheads, vehicle costs, working days and labourer rates.
Job records: job names, customer names and addresses, notes, quoted and actual costs, hours and results.
Messages: anything you send us when you contact us for help.

Information about your subscription

Your plan (monthly or annual), the start and end dates of your free trial and subscription, and a record of your payments. We do not see or store your card details. Payments are taken by our payment provider, which handles your card details under its own privacy policy.

Information collected automatically

Login information: secure tokens that keep you signed in.
Basic usage information: pages visited and features used, so we can fix problems and improve the Service.
Device information: your device type and browser, so the Service works properly on it.

Your customers' details

If you enter details about your own customers in your job records, such as names and addresses, you are responsible for making sure you are allowed to record them. We only use that information to provide the Service to you. We never contact your customers or use their details for anything else.

3. How we use your information, and our legal reasons

UK data protection law requires us to have a legal reason (a "lawful basis") for each way we use your personal data. These are ours:

We do not sell your personal data. We do not use it for advertising, and we do not send you marketing emails unless you have agreed to receive them. You can unsubscribe from any marketing email at any time.

4. Who we share your information with

We only share your data with service providers who help us run TradeProfitApp, and only as much as they need to do their job. They are not allowed to use your data for their own purposes.

Supabase: stores your data and manages logins.
Vercel: hosts and delivers the Service.
Our payment provider: takes your subscription payments and holds your card details.
Our email provider: sends service emails such as your free trial reminder.

We may also share information if the law requires us to, for example with HMRC or the police, or to protect our legal rights.

5. Where your data is stored

Some of our service providers store or process data outside the UK, including in the United States. When this happens, we make sure your data is protected to UK standards. We do this by using providers in countries the UK government has approved as having adequate data protection, or by using legal safeguards approved by the UK, such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

6. How we keep your data secure

Your data is encrypted while it is being sent (using TLS) and while it is stored. Access to your data is restricted, and only you can see your figures through your account. No method of sending or storing data over the internet is completely secure, but we take reasonable technical and organisational steps to protect your data.

7. How long we keep your data

While your account is active: we keep your data so you can use the Service.
If your free trial ends and you don't subscribe: we keep your account and saved jobs for 90 days after the trial ends, so you can pick up where you left off. After that, your account is closed and your data is removed from the Service.
If you cancel a paid subscription: you keep full access until the end of the month or year you have paid for. We then keep your account and saved jobs for 90 days. After that, your account is closed and your data is removed from the Service.
Archive copy: when an account is closed, we keep a secure, encrypted archive copy of its data so we can restore it if you ask us to. You can ask us to delete the archive copy at any time.
Backups: encrypted backup copies are cleared within a further 90 days of deletion.
Payment records: we keep records of payments for six years, because UK tax law requires it. These records do not include your job data.

You can ask us to delete your data sooner, including any archive copy, at any time by emailing support@tradeprofitapp.com. If you have a paid subscription, you can also export your jobs as PDF or CSV files before you leave.

8. Cookies

We only use cookies to keep you signed in. We do not use tracking or advertising cookies. You can block cookies in your browser settings, but you will not be able to sign in if you do.

9. Your rights

You have the right to:

Access: ask for a copy of the personal data we hold about you.
Correction: ask us to correct data that is wrong or incomplete.
Deletion: ask us to delete your account and data.
Restriction: ask us to stop using your data while a concern is looked into.
Portability: receive your data in a format you can take elsewhere, such as a CSV file.
Objection: object to us using your data where we rely on our legitimate interests.

To use any of these rights, email support@tradeprofitapp.com. It is free, and we will reply within one month.

10. Complaints

If you are unhappy with how we have handled your data, please contact us first at support@tradeprofitapp.com so we can try to put it right.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113. If you live outside the UK, you can also complain to the data protection authority in your own country.

11. Children

TradeProfitApp is for businesses and is not intended for anyone under 18. We do not knowingly collect data from children. If you believe a child has given us personal data, email support@tradeprofitapp.com and we will delete it.

12. Changes to this policy

We may update this policy from time to time. When we do, we will change the "Last updated" date at the top. If we make an important change, we will tell you by email or with a notice in the app before it takes effect.
